When you submit a job application or contact request through our online recruitment system, we process your personal data to administer and evaluate your application. This privacy notice explains how we process your data, for what purposes, and what rights you have under applicable data protection legislation.
Categories of Personal Data
The recruitment system processes the personal data you provide to us, including:
- Name,
- Home address,
- Telephone/mobile number,
- Email address,
- CV and cover letter,
- Photo (if voluntarily uploaded),
- Personal evaluation form,
- Interview notes and assessments (created during the recruitment process).
All information is collected directly from you as an applicant either through the online recruitment system or through personal contact with you.

We process your personal data for the following purposes:
1. Managing your job application
To review your application, assess your qualifications, communicate with you, and conduct interviews and evaluations.
The legal basis for us to process your personal data for the above purposes are:
- Legitimate interest (article 6(1)(f) GDPR – our legitimate interest to conduct a recruitment process.
- Steps necessary prior to entering into an employment contract (article 6(1)(b) GDPR.
2. Compliance with legal obligations
To comply with applicable employment and discrimination laws.
The legal basis for us to process your personal data for the above purposes are:
- Legal obligation (article 6(1(c)).
3. Future recruitment
If you choose to give consent, we may store your profile for future vacancies.
The legal basis for us to process your personal data for the above purposes are:
- Consent (article 6(1)(a)).
You may withdraw your consent at any time by logging into the recruitment system or by contacting us.
Storage Period
We store your personal data only for as long as necessary for the purposes described above:
- Ongoing recruitment process: Personal data is stored for up to 6 months after the recruitment process is completed.
- Future recruitment process: If you have given us your consent, your personal data is stored for 24 months. The data is deleted immediately if you withdraw your consent.
- System logs: Stored for a short technical period, only for security purposes.
Sharing of personal Data
We may share your personal data with:
- Service providers who operate the recruitment system (Teamtailor)
- Background check providers involved in the process
- Other Company entities within Newsec involved in the specific recruitment process
All service providers act as data processors and are bound by data protections agreements.
Your personal data will not be used for any other purpose than recruitment.
International Transfers
We do not transfer your personal data outside the EU/EEA unless required for the technical operation of the recruitment system. If such a transfer occurs, it will be protected by appropriate safeguards, such as the European Commissions Standard Contractual Clauses and additional security measures where necessary.
Your Rights
According to data protections legislation, you have the right to:
- Access your personal data
- Request correction of inaccurate information
- Request deletion of your personal data
- Request restriction of processing
- Object to processing based on legitimate interests
- Withdraw your consent where processing is based on consent

Automated Decision-Making
We do not use automated decision-making of profiling that produces legal or similarly significant effects on you.

The data controller for the personal data processed in the Teamtailor online recruitment system is the Company entity to which you have addressed your application or contact request.
